Proof of Delivery Documents
POD’s remain a critical part of the logistics process, establishing that goods have been delivered to the planned recipient, received in good condition.
The way in which these are handled has and continues to change.
Freightforce is committed to providing our customers with a fast and efficient way to handle POD’s. We use scanners which turn returned, signed POD’s into text searchable documents and we store these securely within a huge document management system, making it easy to search, retrieve and email them to customers.
Our Paper POD process:
- Paperwork is received from customer, which accompanies the goods on their way to the delivery point
- Where no paperwork is provided a basic delivery note may be produced
- Upon delivery of the goods a signature and printed name is entered into the customer paperwork
- Any problems with the delivery, are reported to our office, then we inform the customer, usually via email
- POD’s are returned to our offices, usually the same or following day
- Paper POD’s are checked, scanned and stored onto our document management system
- Importantly, we OCR all POD’s making them fully text searchable and easy to find
- Copy of the POD is emailed to the customer (optional)
- Original POD’s are shredded (or returned to the customer if required)
- Copies of POD’s can be provided to customers from our document management system as required
Our Paperless POD Process:
- No Paperwork is received from customer
- Upon delivery of the goods a signature and printed name is entered via electronic device
- Any problems with the delivery, are reported to our office, then we inform the customer, usually via email
- POD’s instantly update our system
- Copy of the POD is emailed to the customer
- Copies of POD’s can be provided to customers from our document management system as required
